Faster due diligence

The Problem

A US-based venture capital fund had a knowledge problem hiding in plain sight. When evaluating a potential investment, the deal team needed to synthesise information scattered across years of conversations, CRM records, Airtable databases, Slack threads, and Google Drive documents. A partner might have had a relevant conversation about a competing company two years ago. An analyst might have written a market map that covered the exact space. A portfolio company founder might have mentioned the target in a quarterly update.

All of this context existed somewhere in the fund's systems, but finding it was nearly impossible. Team members would spend hours searching through different platforms, often missing critical information simply because they did not know it existed or could not remember which tool it was stored in. Due diligence that should have taken days stretched into weeks, and the team suspected they were making decisions without the full picture.

The cost of missed context in venture capital is enormous. A single overlooked data point, a previous conversation with a competitor, a red flag mentioned in passing on Slack, can mean the difference between a great investment and a costly mistake. The fund needed a way to search across everything, instantly, with the intelligence to surface what mattered most.

The Solution

BetterBrain built a best-in-class enterprise search system with custom ranking functions designed specifically for the VC due diligence use case. The system connects to the fund's CRM, Airtable, Slack, and Google Drive, indexing everything into a unified search layer. But this is not simple keyword search. The system uses term significance analysis, re-rankers, query expansion, and contextual embeddings to understand what the user is really looking for and surface the most relevant results.

A conversational bot interface lets deal team members ask questions naturally. Instead of searching four different platforms with four different queries, they ask one question and get a synthesised answer with links to the original sources. OpenAI's gpt-4o handles the synthesis, combining information from multiple sources into coherent, contextualised responses.

The ranking functions are tuned for the specific patterns of VC due diligence: recent information is weighted more heavily, but older strategic insights are not buried. Conversations between partners carry more weight than automated notifications. The system learns from which results the team actually clicks on and uses, continuously improving its relevance ranking.
